Description: POSITION SUMMARY: Performs various legal secretarial duties to assist Legal Department Manager in the efficient operation of the Legal Department. Duties & Responsibilities Provide secretarial support to the Legal Department Manager to aid in the efficient operation of the Legal Department (eg, drafts routine correspondence and distributions, requests checks through the Ariba system, internal communications, assembles meeting presentations, etc.) Print reports from PeopleSoft for budgeting purposes on a monthly basis. Provide secretarial support to the Vice President, Assistant General Counsel and Corporate Secretary. On a daily basis, acknowledge Service of Process filings in the web-based CT Advantage system as well as all complaints received via certified and overnight mail, interoffice mail, US mail, constable, etc.
and distributes to appropriate party for handling. Track all lawsuits, summonses, complaints, etc. in excel database. Screen phone calls, relay messages, open and sort mail, scan, fax and copy letters and documents, prepare expense reports and check requests and make travel arrangements.
Schedule and coordinate meetings and conference calls. Also serves as Workbrain Administrator (hourly payroll). Provide legal secretarial support to all attorneys within department in the absence of their own Legal Assistants or in the event of work overflow. This includes coordinating, proofing, finalizing and assembling legal documents for signature by various officers and levels of management of the company, including Board of Directors.
Completes special projects as assigned by the Legal Department Manager Skills & Experience Strong organizational skills, ability to handle multiple projects simultaneously with minimal direction. Demonstrated ability to communicate clearly, accurately and professionally, both verbally and in writing with both internal and external individuals. Must be a team player and the ability to work with flexibility. Thorough knowledge of computer systems ie Microsoft Word, Excel, PowerPoint.
Computer proficiency 50 wpm. Demonstrated ability to maintain information in strictest confidence. Position SummaryThe Assistant, Legal provides administrative support to the Vice President - Litigation, in the Legal Department, as well as other Attorneys and Paralegals within the department, as needed. This position places an emphasis on detail, organization, independence, self-motivation and interpersonal skills.
The ideal candidate will possess those traits in order to perform traditional, legal secretarial functions such as legal document production and word processingDutiesAssist in the production of documents for Subpoena requests as well as assisting with production of Litigation documents and responding to Litigation requests in a time sensitive manner. Prepare and distribute settlement agreements along with settlement checks. Create, organize and maintain files. Deal directly with parties outside of the company, including outside counsel and other outside vendors and customers.
Make phone calls, draft and send correspondence and attachments with attention to obtaining proper signatures and notaries, send e-mail and otherwise monitor progress of legal matters independently. Screen phone calls, relay messages, open and sort mail, scan, fax and copy letters and documents, wire transfers, prepare expense reports and check requests and make travel arrangements. Set up meetings and conference calls.Experience5 to 8 years previous work related experience. Associate or Technical degree required.
Preferred previous legal secretary experience in a law firm or corporation. Proficiency in the use of Word, Excel and PowerPoint computer programs for inputting data, creating, processing and editing changes and redlining changes to legal and other documents. Proficiency in other office systems such as Outlook and Microsoft Exchange. Demonstrated ability to communicate clearly, accurately and tactfully both verbally and in writing.
Proven ability to work with a very high degree of accuracy and extreme attention to detail. Able to meet imposed deadlines and work with a sense of urgency. Demonstrated strong organizational skills required and ability to follow instructions from more than one person simultaneously. Demonstrated ability to maintain information in strictest confidence.
Ability to type 60 n/w/p/m. Proven ability to work to plan and arrange work independently with minimal supervision. Able to act proactively in order to accomplish tasks.
