Clinic Administrative Assistant

Location: Providence, Rhode Island

Description: Roger Williams University is in need of Clinic Administrative Assistant right now, this vacancy will be delegated in Rhode Island. Under the direction of the Clinic Administrator (CA), the Clinic Administrative Assistant (CAA) is the primary support for all matters of operational efficacy and protocol and the CA's primary internal support in the wide variety of routine and special projects managed and administrated by the CA on behalf of the Providence Law Clinic. The CAA is often the first voice and/or face of the Law Clinic.

1. Essential Functions:
Maintain the Clinic case management program including updating client information, performing client conflict checks, and closing client files;

Assist students with preparation for court and perform other duties necessary for the efficient daily operation of the clinic environment;

Prepare weekly reports for the CA regarding clinical issues and concerns, including procedural and student issues and seek guidance when appropriate;

Update the case assignments list on a daily basis for the Criminal Defense Clinic, preparing weekly report of number of cases opened and closed types of cases taken to court and the number and types of cases mediated regardless of case status. Include in the report the weekly number of client meetings and student court appearances;

Create word processed documents including correspondence, affidavits, briefs and other legal documents for review by the CA.

Coordinate and schedule clinical student tours, ride-alongs and community partner events;

Record all appointments and case deadlines in Clinic published calendar; maintain Bridges course materials and calendars;

Schedule interpreter services as needed; prepare client entry of appearance forms; set up and maintain legal files per standard/

2. General Office Duties:
Prepare payment vouchers; maintain petty cash drawer and related office funds and prepare related reports for CA.

Train students on office equipment use and prepare related reports.

Monitor long distance telephone calls report; perform miscellaneous filing duties; open, stamp and sort all incoming mail to appropriate person.

3. Reception and Communication Duties:
Present the character, decorum, energy and professionalism of the Law Clinic in all communications, both written and verbal, including answering incoming telephone calls and directing calls to appropriate person/department and greeting clients and outside attorneys.

Additional Functions:
Generally in the summer months, may be assigned to provide coverage at the Bristol. campus main law school building;

Respect and maintain confidentiality;

Perform other duties as assigned.

Requirements:
Associate's Degree. in secretarial, administrative or related field with a minimum of two (2) years of legal secretarial/paralegal experience, preferably in a litigation environment.

Excellent word processing experience in Word, WordPerfect for Windows and Microsoft Office relative to a legal environment.

Must be detail-oriented and multi-task oriented, excellent grammar and spelling, ability to work independently and comfortably in a support capacity with all Clinic staff, directors and student attorneys.

Demonstrated knowledge of legal terminology, Rhode Island practice and procedure and legal forms, law office procedures and protocol and the ability to independently compose basic legal correspondence and pleadings.

Preferred Qualifications:
Bi-lingual (Spanish) proficiency.

At the University's discretion, the education and experience prerequisites may be excepted where the candidate can demonstrate, to the satisfaction of the University, an equivalent combination of education and experience specifically preparing the candidate for success in the position.
